How to build a lead follow up system that your team will actually use.

A reliable follow up process does not need dozens of stages or complicated software. It needs clear ownership, response standards and one visible next action for every enquiry.

Why leads get lost even when demand is healthy

Most follow up problems begin with fragmentation. One person checks website forms, another handles WhatsApp, campaign leads arrive in a spreadsheet and referrals sit inside personal chats. Without one shared process, response times become inconsistent and promising prospects disappear.

The goal is not to automate every conversation. The goal is to make sure no enquiry is invisible and no next action depends only on someone remembering it.

The seven step follow up system

  1. List every lead source. Include website forms, WhatsApp, Instagram, advertisements, referrals, calls and marketplace profiles.
  2. Capture the minimum useful information. Record the person, contact details, source, requirement, location if relevant and the time received.
  3. Set a response standard. Decide what “fast enough” means during working hours and who covers each channel.
  4. Use simple pipeline stages. Start with New, Contacted, Qualified, Proposal Sent, Won and Lost. Add stages only when they change the next action.
  5. Give every lead an owner. Shared responsibility often becomes nobody’s responsibility.
  6. Record one next action and date. “Follow up later” is not actionable. “Call Tuesday at 11:00 after the site visit” is.
  7. Review exceptions weekly. Look for overdue follow ups, unassigned leads and stages where prospects repeatedly stall.

Use automation for predictable administrative work: capturing a lead, acknowledging receipt, creating a reminder, assigning ownership and updating reports. Keep qualification, trust building and complex advice human.
